Two ways to get your customers out of QuickBooks Online as an Excel file with names, addresses, phone, and email, plus the option to skip the export entirely.

You can export an Excel file from QuickBooks Online and upload it (the steps below), or connect QuickBooks Online to PostKnock under Admin › Integrations and let PostKnock read your customer list directly, with no file to export. The connection is read-only: PostKnock never changes anything in your QuickBooks company. QuickBooks is a product of Intuit and is not affiliated with PostKnock.
How we checked these steps. The menu paths below come from Intuit’s own QuickBooks Online help articles, except where a detail is marked as coming from the QuickBooks Community (answers from Intuit’s community forum rather than a help article). Last checked September 2026. Software menus change between versions; if yours looks different, the sources below link to the vendor’s own help pages.
Go to All apps › Customer Hub › Customers & leads. Select the Export icon (next to the Print icon) and choose Export to Excel. Intuit lists the columns this file contains as Name, Company, Address, Phone number, Email Address, Customer type, Attachment, Currency, Balance, and Notes.
This is the fastest route, but you cannot choose the columns, and Intuit’s article does not say whether “Address” is the billing or shipping address.

Go to Reports › Standard reports, find the Sales and Customer section, and open Customer Contact List. Select the three vertical dots (⋮), open the Rows/Columns dropdown, select Change columns, add the columns you want (billing address, phone, email), and select Run report. Intuit notes this route is the better one when you need something more specific.

With the report on screen, select the Export icon and choose Export to Excel. The file downloads to your computer. The Customer Contact List can carry both a Billing Address and a Shipping Address column.

To export several lists in one go, select Settings (⚙) › Tools › Export data, choose a reason, select Continue, switch on the lists you want, and select Export to Excel. Everything arrives as one .zip file; the customer list is one of the files inside.

In PostKnock, go to Contacts › Import and upload the file as it came out (CSV or Excel both work). Confirm the column mapping, then read the review screen: it tells you how many rows are mailable and why any are not, before anything is saved.
Map the Billing Address columns to the mailing address. If your file has the whole address in one cell, map it to Full mailing address (one column) and PostKnock splits it into street, city, state, and ZIP.
For a postcard list you only need a handful of the columns QuickBooks Online offers:
PostKnock needs a name (or a company name) and a complete U.S. mailing address on every row. Phone is what your team uses for call follow-up on Pro. Everything else is optional, so leave clinical, balance, and notes columns out of the file.
Yes. Under Admin › Integrations you can connect QuickBooks Online. You sign in on Intuit’s own screen, PostKnock gets read-only access, and syncing stays off until you turn it on or click Sync now. After that it runs nightly and only picks up customers changed since the last run. Customers whose billing address is incomplete are not imported and are listed on the integrations page so you can fix them in QuickBooks.
No. PostKnock only reads your customer list. It never creates, edits, or deletes anything in your QuickBooks company, and disconnecting removes the stored access.
The Customers page export is the quickest but has a fixed set of columns. The Customer Contact List report lets you pick columns, including separate billing and shipping addresses, which makes it the better fit for a mailing list.
Not directly from these exports: Intuit does not document a last-transaction column for the customer list. You can export everyone and let PostKnock deduplicate, or narrow the list yourself from your sales reports first.
