INTEGRATION · PLANNED
PostKnock + Vagaro
Vagaro books the appointment. PostKnock brings clients back in when they stop booking. The two systems complement each other naturally.
What Vagaro is
Vagaro is the booking, payments, and CRM platform built for salons, spas, fitness studios, and personal-service businesses. Common in nail salons, hair salons, med spas, barbershops, and boutique fitness.
Why postcards on top of Vagaro
Vagaro's email and SMS are good for confirmations and a basic broadcast. They are not effective for win-back at the volume small salons need to drive bookings during slow weeks. Postcards are tactile and timed; pair them with a stylist callback ("hey, it's Maria — I have an opening this Thursday") and they convert at rates email cannot.
How a PostKnock + Vagaro integration would work
Contact sync
Pull-based via Vagaro's API. PostKnock would sync Customer records, scoped to last-visit beyond your threshold. Service-type tags (color, cut, brow, facial) drive segment-specific postcard copy. One-way for MVP.
Trigger types
- →Last visit > 10 weeks (color clients) — “Your color is fading” postcard with a 15% rebooking offer
- →Last visit > 6 weeks (cut clients) — Trim reminder postcard
- →Birthday month — Birthday postcard with a complimentary add-on
- →New mover within 5 miles — Welcome postcard introducing the salon

Can I export from Vagaro manually today?▼
Yes. Vagaro's reporting exports customer lists as CSV with last appointment, service tags, and preferred staff. PostKnock auto-maps the columns.
Will it sync two-way?▼
Phase 1 is one-way (Vagaro → PostKnock). Phase 2 will optionally write a customer note back.
Cost?▼
No integration fee. You pay only the standard per-postcard rate.
Does the postcard mention the stylist by name?▼
Yes — PostKnock's variable fields can include the preferred-staff name on the postcard, making it feel personal (“Maria can't wait to see you”).
Does this work for med spas on Vagaro?▼
Yes, but med spas using Vagaro that handle medical PHI should review our HIPAA compliance approach first — the postcard copy stays generic and PHI-free.
